Privacy policy
Last updated: October 31, 2026
This policy is from Slotsmith by Rooh Sites, based in India (“we”, “us”). It explains what happens to personal data when you use the Slotsmith plugins, buy Slotsmith Pro, contact us or visit this website.
The short version: Slotsmith runs on your own WordPress website. Your customers' bookings are stored in your website's database and are never sent to us. We only receive what's needed to sell you a licence and help you: mainly your name, email address and website address.
1. The Slotsmith plugins on your website
Free plugin
The booking details your customers enter (name, email, phone, notes, and the service, staff member and time they chose) are stored in your WordPress database. The free plugin makes no requests to us or to anyone else, sets no cookies, and loads no outside scripts or fonts.
To slow down spam, it remembers a one-way hash of a visitor's IP address for 10 minutes after they book. It never stores the address itself.
Slotsmith Pro
Pro only connects to services that you set up with your own accounts, and sends them only what each one needs:
- Stripe, Razorpay or PayPal for payments: the amount, the service and the customer's contact details. Customers pay on the provider's own page, so card details never touch your website.
- Twilio or WhatsApp (Meta) for reminders: the customer's phone number and the reminder: the service and the time, plus their name for WhatsApp.
- Google Calendar: booking details are added to the staff member's calendar, and their busy times are read so those times can't be booked.
This data goes straight from your website to those companies. It doesn't pass through us, and their privacy policies apply to it.
Licensing
When you start a trial or activate a licence, Slotsmith Pro connects to our reseller, Freemius, to check the licence and deliver updates. It sends information such as your name, email address, website address, and your WordPress, PHP and plugin versions. See the Freemius privacy policy.
2. Buying Slotsmith Pro
Freemius, Inc. runs the checkout and processes payments as our reseller. Freemius shares with us your name, email address, country, plan, licence and payment status, and any business details you give for your invoice. We never see your full card number.
We use this to provide your licence, updates and support, to send important messages about your licence and renewals, and to keep the records that tax law requires.
3. When you contact us
When you email us, we receive your email address and whatever you send. We use it only to answer you and to improve Slotsmith. Our email is hosted by Google (Gmail).
4. This website
- It's hosted on Cloudflare Pages. Like any web host, Cloudflare processes your IP address to deliver the site and protect it from attacks.
- The home page loads the Inter font from Google Fonts and the checkout script from Freemius, so those companies receive your IP address and browser details when you visit it.
- We don't use analytics, advertising or tracking cookies.
5. How long we keep data
We keep purchase and licence records for as long as your licence exists, and afterwards for as long as tax and accounting laws require. We keep support emails for up to three years after our last conversation, unless you ask us to delete them sooner.
6. Your rights
You can ask us for a copy of the personal data we hold about you, or ask us to correct or delete it. Depending on where you live, you may have further rights, for example under the EU and UK GDPR or India's Digital Personal Data Protection Act. Email us and we'll respond within 30 days. You can also complain to the data protection authority in your country.
We don't sell personal data, and we only share it with the companies named in this policy, for the reasons given.
7. Children
Slotsmith Pro is sold to businesses and adults. We don't knowingly collect data from children.
8. For website owners: your own privacy policy
You decide how Slotsmith is used on your site, so you're responsible for your customers' booking data. You can adapt this paragraph for your own privacy policy:
When you book an appointment, we store your name, email address, phone number, any notes you add and the details of your booking on this website, so we can provide the appointment and send you confirmations and reminders. [If you take online payments:] Payments are processed by [Stripe / Razorpay / PayPal]; we don't see or store your card details. [If you send SMS or WhatsApp reminders:] Reminders are sent through [Twilio / WhatsApp]. We keep booking records for [period]. To see, change or delete your details, contact [your email].
9. Changes to this policy
If we change this policy, we'll update the date at the top. If a change is significant, we'll also email customers with an active licence.
