Getting started (free plugin)

  1. Install. In your dashboard go to Plugins → Add New, search for “Slotsmith”, then install and activate it.
  2. Add services. Slotsmith → Services → Add New: name, duration, price, buffer time and a short description.
  3. Add staff. Slotsmith → Staff → Add New: photo, the services they offer, weekly hours and days off. Every service needs at least one staff member who offers it.
  4. Add the form to a page. In the block editor, add the Booking form block. Its sidebar can preselect a service and staff member. With the classic editor or a page builder (Elementor, Divi and others), use the shortcode [slotsmith].
  5. Check your settings. Slotsmith → Settings: brand colour, currency symbol, slot interval, minimum notice, how far ahead people can book, and whether you approve bookings yourself.
  6. Make a test booking and check that the confirmation emails arrive. If they don't, see Troubleshooting.

Installing Slotsmith Pro

  1. Make sure the free Slotsmith plugin (version 1.0.0 or newer) is installed and active. Pro adds to it.
  2. Download Slotsmith Pro (a .zip file) from your purchase email, then go to Plugins → Add New → Upload Plugin, upload it and activate it.
  3. Go to Slotsmith → Pro settings and enter your licence key. Updates then arrive under Plugins like any other plugin.
  4. A My bookings page is created for you. Pro settings has a tab for each feature: Payments, Reminders, Google Calendar, Booking form, Customer portal and Emails.

Online payments

Customers pay on Stripe's, Razorpay's or PayPal's own secure page, so card details never touch your site. Set it up under Slotsmith → Pro settings → Payments:

Stripe

Paste your secret key from Stripe → Developers → API keys. Use a key starting with sk_test_ to try it first, then switch to your sk_live_ key.

Razorpay (India: UPI, cards, netbanking)

Paste your key ID and key secret from Razorpay → Account & Settings → API keys. Use test-mode keys first.

PayPal

Create an app in the PayPal developer dashboard and paste its client ID and secret. Tick PayPal sandbox to test. PayPal doesn't take payments in Indian rupees, so use Razorpay for customers in India.

Payment webhooks (recommended)

Without webhooks, a booking is confirmed when the customer comes back to your site, or by a background check every few minutes. With webhooks, the payment provider tells your site the moment the money arrives, even if the customer closes the tab.

The Webhooks box under Pro settings → Payments shows your webhook address, the events to tick, and when the last notice arrived. Add the address in your provider's dashboard:

Every notice is double-checked with the provider before a booking changes.

Refunds to your customers

Choose when a cancelled paid booking is refunded under Pro settings → Payments → Refund paid bookings:

The full amount goes back the way it was paid (card, UPI or PayPal). Paid, cancelled bookings also get a Refund link in the bookings list, which you can use if automatic refunds are off or a refund failed. The failure reason is shown there too.

Reminders

Under Pro settings → Reminders, set the first and second reminder in hours before the appointment (for example 24 and 2; 0 turns one off), then choose how they're sent:

For SMS and WhatsApp, turn on Make phone number required and set a Default country code (for example +91), which is added to numbers typed without one.

Google Calendar

  1. In Google Cloud Console, create a project and enable the Google Calendar API.
  2. Under APIs & Services → Credentials, create an OAuth client ID of type “Web application”.
  3. Add the redirect address shown under Pro settings → Google Calendar as an authorised redirect URI.
  4. Paste the client ID and secret into Pro settings and save.
  5. Open each staff member and click Connect Google Calendar.

Then choose whether to add bookings to staff calendars and whether to block times that are busy in Google Calendar.

Admin calendar

Slotsmith → Calendar shows bookings by day or week, with a colour for each staff member. Drag a booking to move it (you'll be asked to confirm if the new time is in the past). Click an empty time to add a walk-in or phone booking.

My bookings page (customer portal)

Customers open their bookings from the link in any booking email, or ask for a sign-in link by email. No account is needed. From there they can cancel and, if you allow it, reschedule. Under Pro settings → Customer portal, set:

Extras, coupons, questions and schedules

Customer data requests

If a customer asks for a copy of their data, or asks you to delete it, use WordPress's own privacy tools:

Suggested wording for your own privacy policy is under Settings → Privacy.

Troubleshooting

The booking form doesn't show on my page

The form needs at least one published service and one staff member who offers it. When you're logged in as an administrator, the page shows a note saying what's missing; visitors see nothing.

Booking emails don't arrive

Many web hosts don't deliver WordPress email reliably. Install an SMTP plugin such as WP Mail SMTP or FluentSMTP and connect it to your email provider. Slotsmith uses the standard WordPress mail function, so it works with all of them. Also check the spam folder.

Times are an hour or more out

Slotsmith uses the time zone in Settings → General. Set it to your business's city rather than a UTC offset, so daylight saving time is handled for you.

A day or time I expected isn't offered

Check the staff member's weekly hours, days off, breaks and special dates, your minimum notice and booking window in Slotsmith → Settings, and (with Pro) busy times in their Google Calendar.

Reminders are late, or paid bookings stay “awaiting payment”

Reminders and payment checks run every 5 minutes through WP-Cron, which only runs when someone visits your site. On quiet sites, ask your host to set up a real cron job that calls wp-cron.php every 5 minutes, and add payment webhooks so payments are confirmed instantly.

The payment page shows a currency error

Check the currency code under Pro settings → Payments. Each provider supports its own list of currencies; for example, PayPal doesn't accept Indian rupees.

Licence and billing

Where do I find my licence key, invoices or downloads?

In your purchase email, and in your account at users.freemius.com. Our reseller, Freemius, runs the checkout and the customer account.

How do I move my licence to another website?

On the old site, go to Slotsmith → Account and deactivate the licence, then enter the key on the new site. If you can no longer get into the old site, email us and we'll free it up.

How do I cancel automatic renewal?

Cancel it in your account at users.freemius.com, or email us. Your licence stays active until the end of the period you paid for, and Slotsmith Pro keeps working after that. You just stop getting updates and support.

Can I get a refund?

Yes, within 14 days of purchase. See our refund policy.
